Job Summary

The Division of Pediatric Neonatal-Perinatal Medicine is seeking a full time Administrative Assistant Intermediate to serve the division. Under general supervision provides secretarial and administrative support to various physicians, mid-level providers, administrative manager and staff.


This is a Monday-Friday, 5 days'/week full time position that provides general administrative support in the division on a wide range of tasks.

Duties include but are not limited to:

+ Serve as the administrative support to the division faculty, division administrator, mid-level providers and staff as needed

+ Update the division website and faculty profiles

+ Assist with the preparation of various information/reports assigned by the Division Director or Administrator

+ Prepare and submit department expense reports. Routine procurement processing for office supplies

+ Maintain appointment calendars and arrange meetings and interviews with a variety of individuals both inside and outside of the Division

+ Provide resources to meetings, including materials and AVI equipment, preparing agendas, taking minutes and arranging interview itineraries as needed

+ Create forms, excel spreadsheets, databases and power point presentations

+ Assist Administrative Assistant to Director with the faculty recruitment and interview process

+ Prepare and send correspondence on behalf of the Division Director often of a confidential and sensitive nature in absence of Administrative Assistant to Director

+ Make all travel arrangements and process reimbursements through the University or outside agencies

+ Process reimbursements from Professional Development funds.

+ Track medical license renewals, journal renewals, society memberships, etc.

+ Exercise discretion and independent judgment

+ Prepare and proofread various documents as needed

+ Assist with special assignments as needed

+ Assist in the continuous quality improvements of departmental operations

+ Other tasks as assigned by the Division Director, Fellowship Director, and Division Administrator

**Required Qualifications***

+ Associate degree or an equivalent combination of education and experience

+ Minimum of 2-4 years of experience

+ Ability to organize and coordinate a large and diverse workload with attention to detail and meet deadlines in a timely manner

+ Demonstrated flexibility to adjust to changes in deadlines and priorities

+ Excellent communication and customer service skills, both written and verbal

+ Proficient experience in Microsoft Word, Microsoft Excel and Microsoft Power Point

+ Demonstrated dependability, initiative, ability to prioritize, and ability to accept direction

+ To work flexible hours, depending on the needs of the department

+ Must be well organized and have the ability to multi-task

+ Professionalism; outstanding attendance record and excellent work ethics

+ Proven track record to multi-task, prioritize, and organize. Ability to take initiatives, follow through with duties and meet deadlines

+ Ability to thrive under pressure and flexibility to handle occasionally unforeseen urgencies

+ Team oriented work style and ability to relate and represent the division's position in a positive way

+ Demonstrated track record for effective and diplomatic communication with all levels of the organization; ability to observe and maintain high level of confidentiality

+ Consistent track records of acting as a resource and positive role model in the workplace

+ Reasonable knowledge of University policies, procedures, and regulations

**Desired Qualifications***

+ Excellent organizational and interpersonal skills including the ability to work with staff from various divisions and departments. Considerable experience in performing responsible office duties in an academic healthcare environment

+ Adhere to high standards of teamwork by demonstrating adaptability, flexibility, and consistently sharing information and resources with others

+ Ability to work independently in an ever-changing and potentially stressful environment

+ Familiarity with medical terminology is preferred

+ Bachelor degree preferred
