**Job Summary**


The Department of Ecology and Evolutionary Biology at the College of Literature, Science, and the Arts is seeking a new staff member to join our student services team. This position provides student services and administrative support to the department's graduate program. **Responsibilities***


**Recruiting and Admissions**


Work closely with the Graduate Chair to move through the stages of the admissions process from application to matriculation.


Process admissions decisions and send offer letters.


Organize and coordinate graduate student recruitment efforts: graduate student orientation sessions, programs, recruitment weekend and other events as needed.


Assist in the development of additional recruitment programs for under-represented groups.


Serve as a department advocate when communicating with potential new students.


Registration and Academic Support


Oversee preliminary examinations and certify completion of academic requirements, including candidacy and dissertation requirements; interpret department and Rackham policies.


Collaborate with Rackham as needed to submit forms, clarify policies.


Assist with student registration inquiries by issuing electronic permissions as needed


**Student Support for Graduate Program**


Counsel graduate students to determine the extent of their needs and recommend appropriate counseling services


Provide graduate students with advice and consultation related to educational needs and academic performance


**Communication and Marketing**


Prepare and oversee the preparation of special and periodic reports to management on graduate program operations, admissions, and recruitment.


Partner with EEB Communication Specialist to update the graduate program and marketing information on the EEB website as required


Update the EEB student handbook as needed


**Program Events**


Support the programming events for graduate students


Organize and facilitate annual departmental events such as student orientation and department retreat.


Coordinate recruitment weekend, welcome events, and other events as needed (reserve venues, schedule speakers, and order catering as needed)


**Student Financials**


Prepare, publicize, and distribute information regarding funding opportunities


Process fellowship payments, awards, and special stipends in student financial aid system


Monitor and maintain accurate student academic and financial records


Answer student inquiries regarding funding


**Leadership**


Represent the department to LSA and the Rackham Graduate School; serve on committees and task forces as needed.


Provide staff support for department graduate committees.


Build rapport with students, faculty and staff, and prospective students; gain the trust of faculty


Collaborate and network with graduate coordinators in LSA and Rackham to learn and share best practices for efficiency and effectiveness


**Required Qualifications***


Bachelor degree and experience in student services administration in an academic department are strongly preferred. Excellent interpersonal skills required in order to develop strong working relationships with students, staff and faculty. Demonstrated ability to work collaboratively with students, faculty and other staff. Excellent organizational, written and verbal communication skills are required. Must possess the ability to work independently and as a part of a team. Ability to work under pressure and meet deadlines. Ability to deal with confidential materials and professionally represent the department to prospective students. Ability to advise incoming, current, and graduating students. Must possess strong computer skills, including knowledge of Google, Excel, Word, Access and M-Pathways Student Administration and the Student Financial System modules.


**Desired Qualifications***


Master's Degree and knowledge of University of Michigan policies and procedures, including GradCare administration and Rackham student/degree policies is highly desired.
